In this video, you’ll learn how to track time for tasks and projects in Notion using buttons. We walk through an example with an OKR template, demonstrating how to create databases for time logs and tasks, how to create a template page with new Notion buttons for time tracking tasks, and how to create time analytics for tasks and projects with the rollup property. The video is accompanied by a link to an OKR template with buttons.

0:59 How to track time for Tasks and Projects in Notion (example with OKR Template)
02:49 Step 1. Creating databases for Time logs and Tasks
05:32 Step 2. Creating a template page with new Notion Buttons for time-tracking tasks
08:53 Step 3. Create time analytics for Tasks and Projects with rollup property
Algorithm:
Step 1. Creating databases (db) for Time logs and Tasks
1.1 Create db for Projects
1.2 Create a db for Tasks and connect it with the Projects db with a relation
1.3 Create db for Time log and connect it with Tasks db with relation
Step 2. Create template page in Task databases
2.1 Embed Time log to Task template page (every new task page should be with Time log)
2.2 Create Notion button for Start timestamp with command /button

2.3 Create a button for End timestamps

Use filter for end button – where End property is Empty

Step 3. Create properties for analytics in Task and Project databases
3.1 Create a Rollup property in the Task database to calculate the Total time spent on the Task

3.2 Convert this property to Number with Formula

toNumber(prop(“Hours, rollup”))
3.3 Create Rollup with Sum of hours in Projects database

Here is settings of Rollup – we choose in Relations our Tasks database (in the screen below it’s Key Results for Objectives)

Final solution
1. Track time for each task

2. See analytics for all tasks you create in Projects

3. Create a Project gallery to get a high-level overview of all projects and the time invested in them
